• Increase bid team productivity

    with document formatting support

  • Hello! My name is James Milner and I provide interim document formatting support to teams responding to ‘must win’ tenders.

    broken image

As the submission deadline approaches, valuable time will be wasted if your writers are struggling to format their own documents.

I can take care of all the formatting so they focus on crafting answers that are compelling and responsive to your prospect’s needs rather than wrestling with Microsoft Word.

Working through my own limited company, I have been helping bid teams with response template design, formatting, document management and uploading the final submission to customer portals for many years.

No bid is too challenging and no document problem too difficult to fix!

If you book me to support your bid:

    • Your team will spend more time writing quality content while I manage the formatting and layout.
    • Your submission will look more integrated, consistent and professional.
    • Your prospect will have an easier time evaluating and scoring your bid.
  • It all comes down to this

    broken image

Figure 1: The immense effort that goes into creating your content can be let down if the documents are poorly formatted. I can make your whole submission look consistent and well-presented for the evaluators.

You will probably win or lose the contract by what is contained in your response documents, and with several other companies all determined to become the ‘preferred bidder’, competition will be fierce.

The look and feel of your response will also make a statement to the prospect about your company’s professional ability and how well it follows tender instructions, so a poorly formatted submission could signal carelessness and a lack of attention to detail.

With the sheer volume of work that needs completing in order to create a winning bid it is easy to run out of time and submit the response with multiple formatting, layout and content errors. These will not do your team justice and make the submission more difficult to read, navigate and score by the evaluators.

I can help your team by formatting the whole submission to look consistent and well-presented while staying compliant with all bidding and branding instructions. Your company will look professional and the evaluators will easily locate the information they need.

  • Reducing issues and improving process

    broken image

Figure 2: There are many unforeseen challenges when responding to a tender. I can make sure that the templates, formatting and document management do not cause additional frustration and delay for your team.

Demanding customer requirements and tight deadlines mean there is often an immense amount of work for bid teams to do in a short space of time - so anything that might hinder the timely creation of the response needs to be minimised.

A common weak point in bidding is the actual response documents themselves. Templates, formatting and document management processes can all cause problems and slow down progress if not approached in the right way.

All three should have proper planning, design and testing before the writing commences to eradicate what may seem like insignificant issues that then quickly grow into real problems when the writing stage is in full flow. These problems can then have a knock on effect to the many other bidding activities going on and cause a lot of frustration, rework and delay.

By engaging me to build the templates soon after the tender has been issued you can drastically reduce the formatting and document management issues your team will have nearer submission.

Any problems that do occur can also be fixed more easily to help keep your writers productive and on track.
  • Problem templates will only create
    problem documents

    broken image

Figure 3: Problem templates create documents that have fragile formatting and are hard for teams to work in. I can create robust, compliant and easy to use templates so that your writers are productive and not wrestling with Word.

When your team starts writing, a problem template can easily turn into hundreds of pages of problem response document. If your templates are unstable, hard to use or non-compliant then everything created from them will have the same issues.

Not only will these documents be hard for your team to work in, they will also need significant formatting work when time is most precious – just before submission.

Common problems like bullets disappearing, headers and footers displaying incorrectly, pictures flying off the page and broken heading numbering will all need fixing before the deadline - in every single document!

I can create robust, compliant and easy to use templates that will reduce the problems many writers have with Word so the productivity of your team will increase.

The documents will also need less formatting work just before submission so more time can be spent fine tuning the content.

  • Your flexible proposal formatting resource

    - ready to support your team -

Figure 4: Responding to tenders is not always a 9-5 job. I can work with your team and around their commitments so the remaining time up to submission is used as efficiently as possible.

If you don't respond to tenders very often, you might not have the expert skills in MS Word and document management needed to support your team, or maybe your bid department is temporarily overstretched from an extension or two. Whatever the reason, I can provide interim support to get your documents looking good and submitted on time.

We all know that responding to tenders can be a tough job due to the long hours and short timescales, but with many years of experience in this role, I am 'battle hardened' to cope with these challenges.

If it helps, I can work outside of office hours, at weekends or even overnight so formatting work does not hold up the writing and reviewing activities. This will enable your team to have more ‘uptime’ with their documents towards submission.

I can work with you at your location for closer collaboration (central London preferred) or if your bid office is located elsewhere, I can deliver a similar quality of service remotely.

I am your flexible formatting resource that works with your team and around their commitments so the remaining time up to submission is used as efficiently as possible.

If you book me to support your team I will do whatever I can to get your bid formatted and submitted on the portal before the deadline.

  • Client feedback

I have had the honour of supporting great bid teams in some notable companies:

Below are some recommendations from my Linked In profile.

    (Swipe or click right, below.)

  • I have had the pleasure of working with James several times over the last few years. We worked on a number of complex bids together in cross functional teams of up to 120 people.

He was initially sourced as a Bid Formatter because of his attention to detail, organisational skills, tenacity and drive for perfection. But he always brought much more to the team than this by offering to help out in other areas (when he had time). This included chasing content, tracking and reporting on completion status, IT support and guidance for team members, onboarding staff, NDA/contract processing and other PMO duties.

James has also been our Document Manager in the past - updating and maintaining content on very large data sites to ensure correct version control for the teams. I have no hesitation in recommending James as I know that he quickly becomes a valued member of a bid team with his ‘can do’ attitude and hard work ethic. I sincerely hope we work together in the future.

    Clair Parmenter, Senior Bid Manager

    MTR Corporation Ltd

I have worked closely with James over a number of years on rail bids at MTR where he worked on bid production - ensuring the many components of a bid came together smoothly and formatting the documents to the agreed spec.

James is highly proficient with MS Office, particularly Word. James has always been highly proactive to developing bid production plans. He has a deep understanding of bid processes and bid management and is equally at home working in small or large teams and at all levels in an organisation. James does what it takes to get the job done at times under extreme pressure. I have relied on him again and again and he has never let me down, always delivering 100% high quality work.

He is committed, self motivated, demonstrates excellent team work and has a great sense of humour. I have enjoyed working with him on every project we have been on – he is a real asset to a bid team.

    Tim Crew, Senior Bid Writer

    MTR Corporation Ltd

    A needle in a haystack!

James and I worked closely within MTR Corporation’s Bid Production Team to produce and deliver the Crossrail Concession tender to Rail for London (part of TfL). James provided a professional, technical and personable service, which involved supporting a large 40+ tender team with advanced production and formatting of their many Word documents (totalling 1,500+ pages). James’ advanced technical ability with Word templates, styles, shortcuts, macros and formatting is superb – he also adds huge value with his proactive nature and understanding of bid process and production organisation.

Right from the start he rolls up his sleeves and gets stuck-in, is calm, patient and level-headed under intense pressure and works fantastically with the team - while always remaining focussed on delivering the task in hand.

I highly recommend James and do not hesitate to say he is a true pleasure to work with.

    Anita Devlin, Graphics Specialist

    MTR Corporation Ltd

I have been working multiple times with James for the last few years. He is extremely dedicated and will do all that is possible to deliver on time and in a very professional manner. James works well as part of a team and is able to gain trust very quickly. It has been a pleasure working with him and I do recommend James.

    Gildas Le Pourhiet

    Senior Account Manager

    Hewlett Packard Enterprise Services Ltd

I had the good fortune to support James on high value, >$100m, high complexity bids at HP Enterprise Services. His superb project management skills and his attention to detail underpin his ability to deliver the most comprehensive of bid responses on time, in the prescribed format and of the highest quality.

James was viewed by his colleagues as a fantastic asset to any pursuit team, cool headed and utterly reliable he works incredibly hard to get the job done.

James is an expert in Office software and SharePoint functionality; his technical ability saved me huge amounts of time and effort on numerous occasions.

James is a team player and always ready to support his colleagues; I am personally indebted to James for making time to act as my mentor when I was a raw recruit to HP, something he did without being asked and for which he took no credit. I cannot recommend James more highly.

    Anne Greenwood, Proposal Writer

    Hewlett Packard Enterprise Services Ltd

I worked with James on a very large and complex proposal.

James was responsible for pulling together the content from a team of more than 10 authors - all under the enormous pressure of a very tight, and business critical deadline.

James showed that he is highly organised and able to deliver. He is a good communicator and a genuine subject matter expert. He is able to grasp complexity, manage it, and at the same time deal with tricky personalities, large volumes, late nights and constant rework.

James works well as part of a team.

    Steve Naylor, Delivery Executive

    Hewlett Packard Enterprise Services Ltd

James has provided Document Management services to HP for many years, and he has been delivering these services to my team since 2009.

His work is technically excellent, and he is expert in the tools and technologies needed to deliver high quality documents on time - particularly MS Word and SharePoint. On the latter James has become the go-to authority in the team, and he has produced a number of manuals and instruction documents in order to help other people use the system properly.

As a proposal delivery unit the team often has to work against tight and rigid client deadlines, and where necessary James has worked long hours through the night under high pressure, but despite this his work is invariably of a highly professional quality.

He fits in well with the team and is cheerful even when the heat is on. Thoroughly recommended.

    John Secker, Proposal Manager

    Hewlett Packard Enterprise Services Ltd

James brings more to a bid team than the sum of many other parts. He is meticulous and project-minded meaning that every detail is given due attention without the losing sight of the bigger picture.

He is very intelligent with great business acumen; his pragmatic and considered approach aids conversations and accelerates decisions with the due consideration they demand. He is calm under pressure, and entirely focussed on the task at hand; James is committed to deliver and follows through on his promises.

I worked alongside James for three years and would not hesitate in doing so again. He is an incredible asset to any team and I sincerely hope that our paths cross again.
